REQUIREMENTS : Applicants need to be in possession of a Grade 12 Certificate. No experience
required. Job associated knowledge: Knowledge of registry duties, practices as
well as the potential to seize facts and function a computer. Working knowledge
and perception of the legislative framework governing the Public Service.
Knowledge of storage and retrieval processes in phrases of the working
environment. Understanding of the work in registry. Job associated skills: Planning
and employer skills, Computer literacy, Language capabilities and Communication
skills (verbal and written). Interpersonal relations. Flexibility and work inside a
team.
DUTIES : Provide registry counter services. Attend to clients. Handle telephonic and
other enquiries received. Receive and register hand delivered mail / files.
Handle incoming and outgoing correspondence. Receive, sort, register and
dispatch all mail. Distribute notices on registry issues. Render an high quality filing
and report administration service. Opening and shut archives in accordance to record
classification system. Filing / storage, tracing (electronically / manually) and
retrieval of files and files. Complete index playing cards for all files. Operate
office machines in relation to the registry function. Open and preserve Franking
machine register. Frank post, document cash and replace register on a daily
basis. Undertake spot assessments on submit to make sure no personal publish is included.
Lock publish in postbag for messengers to supply to the Post Office. Open and
maintain remittance register. Record all treasured articles as prescribed in the
remittance register. Hand offers and signs and symptoms over remittances to finance. Send
wrong remittances lower back to sender by means of registered put up and document reference
number in register. Keep each day file of range of letters franked. Process
documents for archiving and / disposal. Electronic scanning of files. Sort and
package documents for archives and distribution. Compile listing of archives to be
archived and put up to the supervisor. Keep files for archived documents.
